Many people only scratch the surface of Microsoft Copilot—using it for basic email drafts or quick grammar fixes. However, recent features across the Microsoft 365 ecosystem turn Copilot into a powerful proactive engine capable of running complex, multi-step workflows.
Here is a breakdown of what I think are valuable features to understand in the latest Microsoft 365 Copilot Premium (Licensed version)
1. Advanced Knowledge & Context Grounding
Work IQ & Dynamic File Tagging
Rather than treating your queries like generic web searches, Copilot connects directly to your enterprise environment.
- Work IQ: Grants Copilot context across your emails, Teams chats, meeting transcripts, and SharePoint files within a secure environment.
- Inline Tagging (
/Menu): Instantly pull context into your chat by typing/followed by the name of a specific document, meeting transcript, or colleague.
Copilot Notebooks
Designed to centralize project data without overflowing your standard chat history, Notebooks act as a dedicated research and creation hub.
- Curated Context: Ground Copilot in up to 300 reference files (PowerPoints, Word docs, transcripts) so answers draw strictly from your project materials.
- Auto-Generated Artifacts: Instantly generate study guides, summaries, topic pages, glossaries, or mind maps based on your uploaded references.
- Collaborative Hubs: Share notebooks with colleagues while keeping your individual chat threads private.
2. Autonomous & Agentic Workflows
The Researcher Agent
For deep-dive market research or comprehensive briefings, the Researcher Agent executes multi-step analysis without requiring constant prompt iterations.
- Combines real-time web research with internal M365 data (calendar events, emails, OneDrive files).
- Generates comprehensive market reports, launch readiness assessments, and risk evaluations complete with verifiable citations.
Copilot Pages
When working with detailed output from research prompts:
- Convert chat outputs into dynamic, persistent canvas documents (Pages).
- Edit, add notes, and collaborate in real-time alongside Copilot before exporting to Word or PDF.
Co-Work & Scheduled Tasks
Co-Work shifts Copilot from a standard text chatbot into an active background assistant.
- Skills Integration: Leverages specialized skills to create, edit, and manipulate PDFs, Excel workbooks, and Word documents directly.
- Scheduled Tasks: Set up recurring background jobs, such as scanning your inbox every Monday morning to generate a prioritized weekly task list.
- Approval Checkpoints: Built-in confirmation steps ensure Copilot requests human authorization before executing sensitive actions (like sending emails or moving files).
3. App-Specific Integrations & Customization
Personalization: Custom Instructions & Saved Memories
- Custom Instructions: Define communication preferences (e.g., “Lead with the main point in sentence one,” “Use bullet points,” “Maintain a concise tone”) that persist across all chat sessions.
- Saved Memories: Allows Copilot to remember relevant personal context over time to tailor responses without repeating preferences.
AI-Powered Brand Kit Extraction
Setting up company brand kits ensures Copilot outputs instantly match corporate identity guidelines (colors, fonts, brand voice) without manual reformatting.
- PDF Brand Style Guide Extraction: Rather than manually entering hex codes, fonts, and style rules, you can now upload an existing marketing style guide PDF. Copilot automatically scans and populates color palettes, brand voice rules, and layout parameters.
- Navigating to the Brand Kit Editor: The “Create” portal button is occasionally hidden in standard Copilot navigation—access the builder directly in your browser via
[microsoft365.com/create](https://microsoft365.com/create)-> More -> Brand Kits.
Dynamic Model Switching
In the core M365 Copilot chat interface, users can select specialized models tailored to specific tasks:
- Choose between flagship models (including GPT models, Claude models, and “Think Deeper” reasoning modes) depending on whether you need creative drafting, logic-heavy analysis, or strict data extraction.
Brand Kit & Presentation Automation in PowerPoint
- Brand Kit Alignment: Link custom corporate brand kits directly in PowerPoint to ensure generated slide decks automatically adopt approved colors, layouts, and typography.
- Document-to-Deck Generation: Convert Word documents directly into styled presentations with tailored layout designs and visual summaries.
4. Next-Gen SharePoint Copilot Features
In-Library Document Generation & Analysis
You no longer need to open separate desktop apps to build reports or presentations from your SharePoint data. Directly from a SharePoint document library, you can:
- Auto-Generate Excel Dashboards: Select raw data files and prompt Copilot to build structured workbooks complete with P&L analysis, trend charts, and summary matrices.
- Draft Press Releases & Decks: Command Copilot to analyze a dataset and output a formatted Word press release or management review PowerPoint deck directly in the library.
Interactive HTML Dashboard Generation
- Provide Copilot with multiple data sources or an entire folder, and ask it to build an interactive HTML dashboard.
- Outputs standalone, modern dashboards complete with interactive date filters, regional breakdowns, and dynamic chart elements that open right in the browser.
Autonomous File & Folder Organization
- Ask Copilot to analyze messy document libraries containing loose files and nested folders.
- Copilot proposes an optimized taxonomy map (e.g., grouping by year, department, or topic) and automatically moves files upon approval while preserving archived or restricted content (e.g., “Do Not Delete” folders).
Smart Column Extraction & Automated Rules
- Autofill Columns: Automatically extract metadata (like Document Owner or Next Review Date) directly from file contents to populate SharePoint library columns.
- Natural Language Rules: Create automated triggers using plain language (e.g., “Send an email reminder 5 days before the next review date”), which Copilot compiles into native SharePoint library rules.
